Terms and Conditions of Service

Booking Conditions

​

An agreement is made between:

Your Bespoke Chauffeur Limited, Company number 15036900, duly organised and existing under the laws of England and Wales and the hirer who agrees to these terms as part of the hire agreement.

 

Effective Commencement Date: The date the hirer accepts this Agreement.

Term: The duration of this Agreement is as requested by the hirer and terminates when the booking period ends.

This Agreement is subject to English Law.

Your Bespoke Chauffeur only accepts bookings from adults aged 18 and over.

Your Bespoke Chauffeur requests a minimum of 24 hours’ notice for any online bookings. If you would like to secure a booking with less than 24 hours notice – Please call or Whatsapp 07874 701486.
 

Cancellation

​

Free: up to 24 Hours before departure

100% of the fare: less than 24 Hours before departure

For all wedding-related bookings 7 days notice must be provided for any cancellation.

If wedding cancellations are made within 7 days 50% of the booking fee will be charged.

If wedding cancellations are made with less than 48hrs notice the full amount will be charged.

For any additional event bookings (excluding funerals) where the booking is in excess of 3 hours, 48 hours cancellation notice must be provided.

If event booking in excess of 3 hours is cancelled at less than 48hrs notice the full amount will be charged.

 

Payments

​

Your booking will be subject to a 20% Unsociable Hours uplift  where a pickup/drop off is requested between the hours of 00:00 and 07:00hrs. This price is returned as part of your online quote.

Online Airport Transfer quotes for Heathrow, Gatwick, Luton, Stanstead, Southampton and Bristol cover the standard tolls and fees within the allocated waiting period as set out in Waiting Time on Pick Up.

Kindly note that Christmas Day, New Year’s Eve and New Year’s Day will be subject to a 25% additional charge. All other Bank Holidays incur no extra charges.

All charges specified herein, and in the current tariff published by the Company, are payable in advance and prior to the commencement of any journey. Cash payment is not accepted.

Your booking may be subject to additional waiting time and car park charges where incurred. Please see the Waiting Time, Waiting Time on Pick Up sections and the additional miles paragraph below.

Your booking may be subject to an additional miles charge where a deviation from the agreed route or additional pick up is requested. Additional miles are charged at £1.50 per mile. Please refer to the Stop Off terms within the Waiting Time on Pickup section below.

Bookings by the hour incorporate 10 miles within each hour period. Any additional miles incurred will be charged at £1.50 per mile.

Payment/s for additional charges can be made within the vehicle via a credit/debit card.

The charge on your credit/debit card statement will be shown as your invoice number. We are currently making enquiries to change this.

Rates are subject to change at any time without prior written notice.

 

Purchase of Services

​

By placing an order through our website you agree that you are legally capable of entering into binding contracts and you are or over 18 years old.

Your Bespoke Chauffeur Ltd is a private hire vehicle operator licensed by Hart District Council. Therefore, we only accept direct booking(s) requests from our clients for chauffeur-driven travel.

Fixed Rate Booking fares are only applicable where the pick up or drop off location is within the Hart District of Hampshire.

Your Bespoke Chauffeur Ltd reserve the right to cancel any booking(s) with a client or passenger. All bookings/reservations are subject to availability. Where no availability exists Your Bespoke Chauffeur may seek an alternative company to provide a vehicle of the same class to complete the journey. In event of a cancellation or use of an alternative company, Your Bespoke Chauffeur will notify the client(s) via email, phone call or text.

Where an alternative company is reserved for the booking, please be aware that the full range of services and customisations may not be available to the client.

 

Waiting Time On Pick Up

​

Complimentary waiting time for all pick-up locations except the airport:

15 minutes from the agreed pick-up time. Any additional pick up planned or unplanned is charged at £10.

Complimentary waiting time for airport pickup (only if the flight number is provided):

45 minutes, starting from the actual landing. Any additional pick up/drop off planned or unplanned is charged at £10.

If no flight number was specified when booking, the regular waiting time of 15 minutes applies, regardless of the actual arrival time.

Extension of waiting time for all pick-up locations

​

Destination Booking:

The client can ask the Chauffeur for additional waiting time. Extending the waiting time cannot be guaranteed. The Chauffeur will decide whether this is possible or not, depending, for example, on his future journeys on his schedule. The following costs are incurred: £7.50 per 15 minute block rounded.

Book by the hour:

The book by the hour booking starts with the arrival of the customer or after the waiting time has elapsed; the Chauffeur will stay booked for the client for the duration of the reservation.

Meet & Greet

​

All Airport Transfers include a Meet & Greet service as standard only where the flight number is specified:

Once past customs and entering the arrival’s area of the terminal, unless the Client communicates otherwise, the chauffeur will be holding an iPad with the Clients name specified. Where discretion is required, please notify the company and an alternative sign can be displayed with the name of the client. If the chauffeur cannot be found, please contact them on 07874 701486.

Stop Offs

​

Destination Booking:

Stop-offs are possible if the request is indicated in the "Additional Information” field. A spontaneous stop-off on site will be possible only with the chauffeur's agreement. For stop-offs, additional mile charges and additional waiting times may apply, please see the Payments section.

Book by the hour:

The chauffeur can be informed of any desired stop-offs directly on site. If you have a specific requested route when booking, please share it under "Additional Information" on the additional details form. As long as the stop-offs are within the booked time window, no additional fees will be charged.

Changes To The Booking

​

Extending the booking period for bookings by the hour:

In order to extend the booking, the customer must inform Your Bespoke Chauffeur and receive a confirmation before starting the journey. If you would like to spontaneously extend it on site, the chauffeur will decide whether this is possible depending on connecting trips. It is only possible to extend it in 1 hour blocks for a fee of £50.00 per hour.
 

Waiting Time

​

Destination Booking: 

Any booked return journey on the same day is subject to waiting time charges if the return journey is within 6 hours or in excess of 25 miles from the pick up location. If the return journey is scheduled in excess of 6 hours and/or less than 25 miles from the pick up location, no waiting time charges apply.

An hourly waiting charge of £30 is applicable as above (£0.50p per minute).

Book by the hour:

Where the chauffeur has been booked by the hour, no waiting time charges will apply to the client for the duration of the reservation.
 

Termination Of The Booking

​

The client does not turn up:

If the client does not arrive at the agreed pick-up location within the allotted waiting time and the chauffeur is unable to contact the client, this will be regarded as non-appearance. In this case, the journey will be Charged at 100%.

​

Client prevents transport:

If the client decides to refrain from a journey because the chauffeur refuses special services (e.g. transport of children, animals, bulky luggage), which was not previously agreed to, the total amount of the fees agreed for the journey remains payable.

 

Luggage Allowance

​

One piece of hand luggage per client such as a purse, briefcase or a laptop bag, which is carried in the passenger. The transportation of larger suitcases is not allowed in the passenger compartment for safety and insurance reasons. Therefore, the number of luggage cases permitted per booking is as follows:

Mercedes S Class: Two pieces of luggage with each not exceeding the total size of 158cm (sum of width + height + depth) per vehicle.

We reserve the right to refuse to carry luggage, which in the opinion of the chauffeur, is excessively bulky or heavy.

 

Rules Within The Vehicle

​

The following rules apply to every journey:

No smoking or vaping in the vehicle

Seat belts must be worn

Vehicle must be treated with care

In the event of non-compliance with these rules and any inappropriate behaviour such as vandalism and activities that make the chauffeur feel unsafe or uncomfortable, the total amount of the agreed fees remains payable. Additionally, the chauffeur may claim compensation from the client or passenger for the necessary repair of damage to the vehicle or cleaning dirt in the vehicle caused by the client or or passenger that exceeds the usual level.

 

Chauffeurs & Cars

​

The chauffeur will drive at reasonable speeds according to their judgement of the prevalent road conditions and traffic at any particular time. When a client desires to travel to a particular place, the chauffeur will, unless specifically otherwise instructed, travel by the shortest route. Where traffic or other conditions prevent the chauffeur from using the shortest route available, the client will be consulted and agreement sought.
 

Conveyance of Animals

​

On a private hire, no animals (other than guide dogs and hearing dogs) may be carried on any vehicle without prior written agreement from the company.
 

Missed Flights

​

We are not responsible to pay for any missed flights. Please refer to the Events Beyond Our Control section below.
 

Events Beyond Our Control

​

We will not be liable or responsible for any failure to perform or a delay in performance of any of our obligations under a Contract that is caused by an Event beyond our control. An event beyond Our Control is defined as any act or event beyond our reasonable control, including war, invasion, hostilities (whether war declared or not), civil war, revolution, rebellion, storm, flood, snow, earthquake, subsidence, epidemic, or other natural disasters, or failure of public or private telecommunications networks. Without limitation traffic delays, tyre punctures, road traffic accidents, road closures due to accidents and vehicle breakdowns, strikes, and lockouts.

Please note: In the event of vehicle(s) break down, punctures, or accidents – we will do our best to finish the journey with another chauffeur, but unfortunately we cannot guarantee an on-time arrival.

If an Event beyond our control takes place that affects the performance of our obligations under a contract we will contact you as soon as possible to notify you.

Your Bespoke Chauffeur shall not be liable to the hirer for:

  1. The cost of flights or other events missed or

  2. any loss of profits, revenue, contracts, business, opportunity, goodwill or anticipated savings; or

  3. any consequential or indirect loss or damage however caused. 

 

Transport Of Children, Animals, And Excess Luggage

​

This information must be entered in the "Additional Information" field under CLIENT DETAILS FORM when booking. If this information is not included in the booking, the trip may not be carried out due to safety regulations. Clients are kindly advised to provide any required child seat/s. Assistance with fitting the seat/s will be provided by the chauffeur.

 

Privacy Policy

How your personal information is used: We will treat all your personal information as confidential and never disclose it to any third parties and will only use it in accordance with our Privacy Policy here (insert link)

When you book on this Website, we will ask you to input personal details in order for us to identify you and secure your bookings, such as your name, e-mail address, billing address, credit/debit card, or other payment information. We confirm that the payment information will not be held by us, but securely encrypted on the third-party payment system we use

 

Responsibilities

​

Your Bespoke Chauffeur accepts no responsibility for any loss or damage to any luggage or property carried in or on the car unless the loss or damage is a result of negligence by a Your Bespoke Chauffeur driver. In the event of the property being left in a vehicle, we will gladly organise the return of such items, subject to the client paying the reasonable costs of returning the items.

 

Complaints

​

In the event of a complaint about the company’s services, the client should endeavour to seek a solution at the time by seeking assistance from the chauffeur. If this has not provided a remedy, complaints should be submitted in writing and within 14 days of the termination date of the hire. Complaints should be forwarded to complaints@yourbespokechauffeur.co.uk The Company will acknowledge all complaints within 14 days and will normally reply fully within 28 days.
